JOB TITLE: Administrative Assistant/Office Manager
DEPARTMENT: NCSY

POSITION SUMMARY: The Administrative Assistant/Office Manager is chiefly tasked to provide high-level administrative support by handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings for cutting-edge outreach programs for Jewish teens across New Jersey. The Administrative Assistant/Office Manager must be someone who is organized, careful, detail oriented and able to multitask and prioritize duties.

ESSENTIAL FUNCTIONS:
€ ¦· Prepare invoices, reports, memos, letters and other documents, using word processing, spreadsheet, database, or presentation software.
€ ¦· Answer phone calls and direct calls to appropriate parties or take messages.
€ ¦· Conduct research, compile data, and prepare papers for consideration and presentation by executives and committees.
€ ¦· Attend meetings to record minutes.
€ ¦· Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
€ ¦· Perform general office duties, such as obtaining supplies, maintaining records management database systems, and performing basic bookkeeping work.
€ ¦· File and retrieve corporate documents, records, and reports.
€ ¦· Open, sort, and distribute incoming correspondence, including faxes and email.
€ ¦· Provide communication between staff, advisers, participants and parents regarding event details and general information utilizing email, letters, phone calls, social media etc.
€ ¦· Manage the database of participants and staff and all event details.
€ ¦· Coordinate events and conventions including attendance, payments, scholarships, housing, sessions and transportation.
€ ¦· Attendance required at major events and fundraisers, including Passover mega-event at amusement park.

ADDITIONAL RESPONSIBILITIES:
€ ¦· Greet visitors and determine whether they should be given access to specific individuals.
€ ¦· Make travel arrangements for executives.

JOB QUALIFICATIONS:
€ ¦· 2 years of previous office work experience.
€ ¦· High school diploma or equivalent, preferred.
€ ¦· Thorough knowledge and familiarity of Judaic customs.
€ ¦· Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
€ ¦· Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
€ ¦· Ability to understand written sentences and paragraphs in work related documents.
€ ¦· Ability to talk to others to convey information effectively.
€ ¦· Ability to communicate effectively in writing as appropriate for the needs of the audience.
€ ¦· Experience using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
€ ¦· Strong desire to actively look for ways to help people.
€ ¦· Proficiency in Microsoft Access, Excel and Word and internet search engines.
€ ¦· Knowledge of advanced databases and Sequel Server preferred.
€ ¦· Ability to multitask and prioritize assignments.
€ ¦· Graphic Design knowledge a plus.

WORK SCHEDULE:
This is a Full Time position
Office Schedule:
Monday-Thursday: 9:00am-5:00pm (1 hour lunch break)
Friday: Summer: 9:00am-1:00pm
Winter: 9:00am-3:00pm (1/2 hour lunch break-may be taken at the end of the day)
This position requires work out of the office.
This position requires some travel

Also must be organized,responsible able to multitask and prioritize duties.

ESSENTIAL FUNCTIONS:
€ ¦’µ Posts jobs prepare reports, memos, letters and other documents, using MS Office sweets (excel, MS Word, PowerPoint, Outlook).
€ ¦’µ Searches jobs and programs answer phone calls and offer guidance and direction as trained.
€ ¦’µ Conduct research, compile data, and prepare papers for consideration and presentation
€ ¦’µ Attend meetings to record minutes(occasional).
€ ¦’µ File and retrieve corporate documents, records, and reports.
€ ¦’µ Coordinate events, workshops, Job Fairs, resume writing seminars,webinars.
€ ¦’µ Attendance required at major events
€ ¦’µ Must speak perfect English and able to communicate precisely and
intelligently. Hebrew speaking, writing/translation Hebrew to English an added
Plus (not required)

JOB QUALIFICATIONS:
